Ideas About What A Goal/Focus/Action Team Might Do Over A Calendar Year
Goal, Focus, and Action Teams provide leadership for a broad, long term Extension goal. These teams develop, implement, and evaluate the public Plan of Action for IFAS Extension that is used by those internal and external to the program to assess the collective work of state and county faculty and to hold Extension accountable for the work accomplished over a four year time period. Team members should focus on broad, but achievable issues that employ best practices not only in the field, but in program development, implementation, and evaluation of major programs.
Teams need to meet regularly to discuss these issues and purposefully plan their activities related to the four year plan. A team may not have a set calendar time for some of the routine processes associated with team organization and activities; these ideas are simply provided for reference and may be completed at several different times of the year.
January – Establish a calendar for the year with regular meetings (Polycom, conference call, face-to-face). Review the team purpose, leadership, relationships, membership rotation, current email, mailing list Review the identified focus for the team, set goals for the year, tasks to accomplish (include Action Teams – for each decide whether to continue work or dissolve; some may need new members to get back on track), presentations, publications, workshops, major educational programs, etc. Identify needed publications, teaching tools, and other support documents titles that should be completed in support of the statewide program and divide responsibility for writing. In cooperation with the Extension Program Leader, select members to serve on Merit Review Panel that periodically reviews the Plan of Action of other teams. Consider development of specific outcomes or impacts that can be gathered through evaluation tools that are part of a curriculum or delivery system.
February – Selected faculty serve on a Merit Review Panel that reviews each Focus Team’s Plan of Action. If desired, ask PDEC for access to county agent POW/ROAs or workload statistics, and review them for key words in the Focus Team area. Seek out success stories from county or state faculty. Identify specific success story that may be appropriate for inclusion in Federal Report to write up in March.
March – Complete any additional write-up of Goal/focus area for inclusion in the Federal Report. Work with team members to prepare information about successes in the Focus Area.
April –
May – Consider the big picture of training needs for county agents and begin to prepare topics that may be offered starting in August of the next academic year, including the next year’s Extension symposium. Design a needs assessment or determine the specific training needs. Work with specialists and other focus Team members to identify specific topics.
June – Prepare In-Service proposals for inclusion in the In-Service professional development of county faculty or targeted audiences. These may take the form of distance education, face-to-face, or Extension symposium. Seek funding for face-to-face programs.
July Do a mid- year check on Focus Team plans including Action Teams, publications, presentations, etc. Remind faculty of responsibilities. Check membership list on Goal/Focus team Web site.
August Request lists of EDIS publications currently being edited from Program Leaders or Department Chairs Coordinate within the Teams to avoid duplication of effort and overburdening state faculty in reviews of county-produced pubs
September- Do a scan of the industry or focus area to review current resources, trends, demographic information, and statistics. Be sure the Focus Team Plan of Action is current and up to date on the Goal/Focus Team PDEC Webpage.
October – Meet to identify changes in the state Plan of Action and design evaluation tools that can be used by county faculty. Communicate and suggest appropriate methods of evaluation for county faculty reporting. Encourage quality reports of accomplishment or success stories from county faculty.
November – Seek and/or select new members on the Focus Team. New members will want to work with their CEDs and DEDs about their level of involvement and leadership roles. Consider leadership of the Team and who might be rotating onto the committee. Provide orientation to incoming members and leadership.
December – Update team membership lists or complete this periodically throughout the year. Post minutes for the year (if not already completed) on the Goal/Focus Team website. Encourage team members to finalize publications in Endnote and to complete plans of work/ reports of accomplishment.
